Track transactions
Record, find, and review expenses, income, and transfers, split bills, and manage several transactions at once.
- 1
Understand what is in the ledger
The account and period filters at the top apply to the whole page. The heading shows how many results are visible; in a shared space, the summary above the ledger also shows how much was paid together, who owes whom, and lets you settle each pair.
- 2
Use transactions on mobile
On mobile, transactions have their own layout: period balance and account at the top, search, statistics, and privacy, type tabs, and the ledger as compact cards. Tap a row to open its details and edit or delete it.
- Search — tap the search icon at the top to filter by description, entity, or category.
- Sort — the filter button opens a panel with newest, oldest, highest, or lowest amount.
- Details — open a row to see its entity, account, and status, and to edit or delete it after confirming.
- 3
Record an expense or income
Open the form with the new transaction button, choose the type, and fill in the fields.
- Required — amount, date, account, and category.
- Entity — who was paid, or who paid you. Optional, but it helps later with statistics and automatic rules.
- Extras — notes, tags, a debt link, and a receipt as an image or PDF.
- Screenshot — import an image to fill in the details, then review them before saving.
- 4
Record transfers
There are two kinds of transfer, and the difference matters for your totals.
- Between accounts — moves money from one of your accounts to another. Pick the source and destination: iowii creates both linked legs and it does not count as income or expense.
- To someone — when money goes to or comes from another person. Name the sender or recipient.
- 5
Split, share, and settle an expense
On an expense, name who paid and the participants. Split it equally or by percentage, then track each person's share and mark it paid or settled. Names are saved for next time.
TipOpen the row and create a public link to share only that expense. You can copy, open, or revoke the link at any time.
- 6
Repeat recurring transactions
For rent, a subscription, or an instalment plan, turn on recurring and choose a weekly or monthly frequency and how many times it repeats. iowii schedules the following dates for you. In the ledger, the scheduled button shows or hides the ones still to come.
- 7
Find and review transactions
Combine search, filters, and sorting. Each active filter appears as a chip you can remove, or you can clear everything at once.
- Main filters — inside Filters: type (all, income, or expenses), category, account, transactions with no account, imported file, and entities to exclude by exact match.
- More options — settlement status, reviewed or unreviewed, outside budgets, outside totals, running balance, and AI suggestions.
- Sorting — newest or oldest, highest or lowest amount, and income first. With one account selected, you can also sort by balance. Sorted by date, transactions are grouped under the day they happened.
TipUse Scheduled to show or hide future transactions. If any transaction has no account, the amber notice lets you isolate those records and fix them. All your transactions start out reviewed — you only mark one as unreviewed when you want to come back to it. If any are unreviewed, that notice opens automatically at the top so it's never missed. It and the foreign-currency, hidden-scheduled, missing-account, and possible-duplicate notices live together in a single "N notices" disclosure.
- 8
Transactions in a different currency
A bank-synced transaction in a currency different from your main one always shows its real value, with no conversion applied. Those transactions are left out of the main totals — they appear separately, in their own summary with the count and total in that currency.
- 9
Open transaction details
The row shows the description, entity, category, date, amount, and important statuses. Open it to see the full context.
- Statuses — reviewed, possible duplicate, outside budgets or totals, transfer, scheduled, linked debt, and split-payment progress.
- Data — account, source, creation date, notes, original amount, who added it, who paid, and participants.
- Context — category comparison and limit, running or projected balance and, for a transfer, its direction and linked account.
- AI suggestion — on an eligible expense, you can request an analysis and suggested limit after giving consent.
- 10
Act on a transaction
From the row, you can mark a share paid, complete a settlement, or share an eligible expense. In the details, you can edit, duplicate, split, mark as reviewed, include or exclude from budgets and totals, and delete after confirming.
TipWhen creating or editing, a possible-duplicate warning is advisory: open the match to compare it, or continue if they are different records.
- 11
Update several transactions
Choose Select to mark rows on the current page. You can then select every filtered result, change their category in bulk, group two or more transactions of the same type, or delete the chosen rows at once, with a confirmation before deleting. The group adds them into one summary; the originals stay linked and stop counting separately in totals. Use the fixed bar to cancel and the first, previous, next, and last-page controls to navigate; you can show 10, 25, or 50 rows per page.
- 12
Import a statement
Under Options, import a CSV or PDF through File → Columns → Review. iowii automatically reads PDF tables, tries to detect the columns, and asks for the destination account. Always check the preview before importing only the selected rows.
- Draft — progress is saved so you can resume or discard it.
- Review — inspect the CSV or PDF, check possible duplicates, open the matching saved record, and confirm balances detected in the statement.
- Warnings — confirm transactions without a defined type and review the data if local extraction was used.
- Transfers — when you choose that category, name the destination account to create both linked legs. Without a destination, it's a transfer to someone outside your accounts: name the sender or recipient, with suggestions from names you've already used.

Export and clean up the ledger
The Options menu also lets you export the filtered view to CSV, categorise with AI, find duplicates, and delete records in bulk. For deletion, you can combine search, type, sorting, transaction-date range, and creation-date range. Bank-synced transactions don't show up to delete here — they reflect your bank's own history; to stop receiving them, unlink the account in Accounts.
TipAfter importing, review the warnings and run duplicate detection before drawing conclusions from your totals.
