Categorization rules

Turn repeated descriptions into automatic categories, fix your history in one pass, and pair up transfers and refunds.

    Create a categorization rule

    On the Rules page, type one or more terms that appear in the transaction description and pick the category to apply.

    • Several terms per rule — type one, press Enter to add it, and repeat.
    • Income and expenses — the category list covers both, each labelled with its type.

    Choose good terms

    Short, specific terms are more reliable. It helps to know how the matching works:

    • The term is matched anywhere in the description, not just at the start.
    • It ignores upper and lower case.
    • Avoid generic words that would catch transactions you did not mean.

    TipIf a merchant appears spelled several ways on your statement, put those variants in the same rule rather than creating one rule each.

    Fix transactions you already have

    A new rule does not touch what you have already recorded. Use the scan action on the rule's card to see which transactions it would catch that sit in another category, with the current and new category side by side. Fix them one at a time or apply them all at once — and nothing changes until you click.

    Categorize your imports

    From then on, rules apply on their own whenever you import a CSV or PDF statement: matching transactions arrive already in the right category. It is always worth reviewing the result of the first import after you create new rules.

    Pair transfers and refunds

    The second card on the page creates grouping rules, which look for same-amount pairs within a window of days — typical of a transfer between accounts or a refund.

    • Name — so you can identify the rule.
    • Window (days) — how many days can separate the two legs.
    • Description contains — an optional term, to narrow it further.
    • Only income with expense — on by default, to catch transfers and refunds.

    TipThe scan shows the pairs it found and how many days apart they are, and only the ones you confirm get linked.

    Edit and delete rules

    Each rule can be edited on its own card to change its terms or category. Deleting a rule happens immediately with no confirmation step, but it only removes the rule: transactions it already categorised stay as they are.

    Use rules on mobile

    On mobile, the page has its own layout: the number of active rules sits in the coloured header, followed by the two cards — Categorization and Grouping — each with a button to create rules and the list below. Scanning a rule opens below its card, the same as on desktop.
